ATTENTION EXHIBITORS:

 

  • No vehicles allowed in the building during move in without permission from show management
  • No children (under 16) are allowed on the show floor during move in or move out as it is considered a construction zone during these times

Exhibitor access to the show floor is only allowed 1 HOUR prior to show open on show days with the exception to opening day with your exhibitor badge.

EXHIBITOR BADGES

All exhibitors need to display their badge on show days to gain admittance to the show floor. 

Exhibitors are given the minimum number of badges allotted to their booth automatically (see chart below)  with no form needing to be filled out. If the number of badges needed for your staff doesn't exceed the amount shown below, then simply have your staff check in at the Show Office or before the show to receive their badge.

Please note that badges do not display exhibitor or company names but there is room to put in your personal business card. 

100 square feet=5 free badges
200 square feet=8 free badges
300 square feet=10 free badges
400 square feet=12 free badges
Each additional 100 square feet gets an additional 2 badges.

If you need more than the number of badges allotted to your booth, please fill out the  Exhibitor Extra Badge Form and send to Marla at marlak@mpeshows.com no later than February 5, 2026. 

DO NOT LEAVE YOUR BADGES IN YOUR BOOTH as you need them to gain access to the show floor. Replacement badges are $10 each if lost, left at home, left in booth, a dog ate them etc. 

 

 

BOOTH GUIDELINES

Review the booth guidelines to make sure your booth is designed to meet Marketplace Events and Calgary Stampede Event Services' standards:

 


*Please note that the Calgary Fire Department requires all materials (sheds, canopies, tents, temporary structures including signage in and hung above a booth) must be approved for indoor use and have a permanently attached label indicating conformance to CAN/ULC–S109, “Flame Tests of Flame-Resistant Fabrics and Films.”

Other Calgary Stampede Information:

Any exhibitor that would like to sample any food or beverage items (coffee, snacks etc) must fill out Calgary Stampede's Sample form, Along with a form from Alberta Health Services (see further down this page). Click HERE for the Stampede Sample Form. Please send the completed form to exhibitorservices@calgarystampede.com and cc marlak@mpeshows.com. The form must be submitted no later than January 23th, 2026.

Booth Bites Program 

Menus will be available on site at the Calgary Stampede Order Desk or through the Exhibitor Concierge team who will present on the floor during move-in and for the duration of the event. Payment (credit/debit) will be required when placing the order. 

Exhibitors will have to place their orders at least 2 hours before the meal service daily. It will allow time for the kitchen team to prepare their meals, make the packages and make sure that everything is displayed perfectly for when the food is delivered to the exhibitors. 

The Exhibitor Concierge team will provide the delivery of every “lunch box” directly to the exhibitors’ booths. These customized deliveries will be available at 2 different times options for every meal. This will allow exhibitors to take their break at their convenience, according to the hours of operation of the event. 

 

 

 

Decorator Services

The Calgary Home Shows has partnered with Global Convention Services as our Show Decorator. The order process has changed from previous years, and there will no longer be a link in our Exhibitor Kit to order. Instead, Global will email exhibitors directly with information to sign up for their online ordering portal. Please keep an eye out for their emails and email address: essgroup@globalconvention.ca

Shipping, receiving & Customs Forms

 

 

Beyond Borders Logistics and Consulting is the Show's official Transport and Custom's Broker. Please contact them at brian@beyond-borderslc.com or (905) 808-1006 if you require shipping or transportation. If you are planning to ship crates or items to the show, please be mindful of the following:

Calgary Stampede does not accept packages more than 1 day prior to the show. All packages and crates must be prepaid, labeled, and addressed correctly. Please click HERE for details about shipping to Calgary Stampede.

Global Convention Services is able to accept and store freight before the show should you need to ship anything earlier. Please note that Global is NOT a shipping or logistics company. This is a paid service and requires you to fill out forms, provide a waybill and have correct labels affixed to each item. Please contact Global Convention Services at 587.324.4821 or essgroup@globalconvention.ca.


 

ENHANCE YOUR COMPANY’S ONLINE EXHIBITOR LISTING

Enhance Your Company's Online Exhibitor Listing

Maximize your business’s exposure and attract more customers by upgrading your exhibitor listing. As an exhibitor, you have a basic listing live on the website, and now you can Enhance It! This is included in the contracted space cost and is no additional charge. 

Within 24 hours, you will receive an automated email providing a link to elevate your listing. This link gives you the flexibility to make updates and changes to your listing as frequently as you like until one day after the show ends. Your listing will stay active for as long as you participate in the show.

SHOW INSURANCE

 

Proof of trade show insurance is mandatory. Please email a COI to Marla before February 6, 2026 - marlak@mpehsows.com. Your provider should be able to do this fairly quickly.

  • Insurance must include exhibitor/vendor or trade show coverage (speak to your provider to see if you are covered for this already, or if you need extra coverage)
  • Move in and move out dates must be included in your coverage
  • Liability coverage should be for a minimum of $2 million
  • We require that we are listed on your policy as additionally insured. Please ensure we are listed as:

EXHIBITOR MOVE IN AND MOVE OUT

 

The Calgary Boat and Outdoors Show and BMO Centre use Voyage Control to facilitate a smooth move in for exhibitors. Within Voyage Control, you will book a specific date and time to bring your vehicle to the loading apron (please note that vehicles are not allowed on the show floor without prior approval from Show Management, dollies are available to bring items to your booth). If you have not created a profile in Voyage Control before, you will need to do so before booking your time. The Calgary Boat and Outdoors Show will send emails containing booking codes and times, approximately 4 weeks before the show. If you did not receive the email, please check your junk folder, or contact your Exhibit Sales Consultant.

“Should I book a move in time even if I only have a few items to unload?”.....Yes! To ensure a smooth and stress-free move in, please book a time at the loading aprons, even if it ‘s just a few items.

Please note, the BMO Centre will not allow access through the front entrance or side doors

Move Out:

Sunday, February 22nd, 2026           4PM - 10PM 

Removal or dismantling of exhibits or exhibit materials is NOT permitted before the closing of the show (4PM on Sunday). Exhibitors may face disciplinary action if found breaking this rule.


You do not need to book a move out time. At 4:01pm, you may start dismantling your booth. After 5 pm, carpets are rolled up and dollies/forklifts etc. may be used for your items. To bring your car to the apron, Stampede staff must see that your booth is completely dismantled, once confirmed, you can pull up your vehicle.

 

The halls are considered a construction zone during these hours. Absolutely no children under the age of 16 are permitted on the show floor during this time.

 

 

PARKING

Calgary Stampede no longer has parking passes as the City of Calgary now manages the lots. Parking is $18 per day, with the exception of the Remington lot off of 11th Ave SE, which is discounted to $12 per day. Click HERE for the Calgary Parking website.

FOOD AND BEVERAGE

 

The following items are required if you are a food and alcohol or non alcohol beverage exhibitor. Please look through the Special Events Food Vendor Package HERE to see what applies to you. You may also need this information to complete the form:

Caterers, restaurants, bakeries, café, etc.: Exhibitors who use commercial kitchens, please read the information and fill out the form HERE no later than January 16th, 2026.

Mobile Vendors (Food truck, mobile cart, etc.) Submit your business name & decal numbers to Marla no later than January 16, 2026.

Are you planning to sample your goods? Or perhaps you'd like to offer potential clients a coffee or a treat? Calgary Stampede and AHS require you fill out the forms below and submit no later that January 16, 2026Please send the Stampede Liquor Sampling Permit Form to eventservices@calgarystampede.com (include marlak@mpeshows.com). Samples are restricted to a 2-ounce liquid portion (maximum) or a toothpick size food portion (maximum). Calgary Exhibition and AHS reserves the right to close any concession not following regulations.

TRAFFIC DRIVERS

Web Button: Increase traffic to your website with our free online button linking your customers to discounted tickets to the show. Let us know when our button is posted on your website, and we will email you an additional 10 free tickets to the show.

Promo Codes: Offer your Social media followers, clients, friends and family a discounted price on tickets by letting them know your promo code. You should have received your promo code automatically in an email that was sent out.  If you don't see this email, reach out to Marla Kimball for more information.
